Brevard County, a leading SAP customer in the public sector, had been using SAP ERP for over a decade relying on SAP HR (also known as SAP ERP HCM) to manage their extensive employee database, payroll, and HR processes. As SAP announced the end of maintenance and deprecation for legacy SAP and SuccessFactors applications (i.e., ONB 1.0), Brevard is faced with a dual challenge of migrating to a newer HR system while ensuring minimal disruption to their HR functions and enhancing overall HR capabilities.  

With the end of maintenance and deprecation of legacy SAP Onboarding applications, Brevard County’s SAP HR system would no longer receive updates, product support, or security patches. This posed several operational risks and issues with system stability and compliance. The County needed continued guidance in providing strategic evaluation and planning services and a unique approach to recommending an upgrade strategy with minimal disruption or upgrade to the Onboarding (2.0) platform to start their SAP Cloud and SuccessFactors journey.

Onboarding 2.0, referred to by SAP as Onboarding, aims to simplify the complexities of the previous platform. Onboarding is now built directly on the SAP SuccessFactors Employee Central platform with Fiori-based design and a consistent users experience. New hires, for example, now can now log directly into the SuccessFactors platform due to the use of standard data structures along with reduced duplicated functionalities.

Features and Benefits:

• Onboarding fully aligns with the rest of the SAP SuccessFactors product suite much more effectively.

• The user interface of Onboarding now leverages the SAP Fiori User Experience.

• The hiring manager tasks are replaced with a comprehensive onboarding tasks dashboard.

• Onboarding has more control and visibility to configure and administer processes, workflows, and custom forms.

• Features such as, Personal/Custom Data Collection, New Hire Data Review, New Hire Tasks, Onboarding Dashboard, and e-Signature (both DocuSign and SAP SuccessFactors eSignature) are available to the new hires on a mobile device.

• Onboarding has a new notification framework which is again built on Metadata Framework where advanced conditions are replaced with the use of business rules.

Considerations for Migration:

There is no easy button for migration as technical differences are still present between the two applications with SAP not having introduced standard delivered tool sets to support the required activities. In turn, migration will require customized development of non-compliance forms, policies, conditions, integrations and reporting. All state and federal compliance forms (I9, W4, etc.) continue to be standard delivered and managed centrally by SAP with state/federal governments. With the introduction of Story reporting and SAP direction to migrate customers to SAP Cloud Integration Platforms, the use of Identity Authentication Services (i.e., IAS) will be required for all reporting use with Onboarding moving forward.

With the end-of-support and deprecation looming, it’s important to begin the necessary steps to complete the necessary upgrade prior to Q4 25’. With decades of SAP SuccessFactors experience and consultants who were some of the first to implement the new Onboarding platform, Phoenix Business Consulting knows what it takes to be successful. Leveraging the SAP Agile framework, Phoenix takes an iterative approach to implementation allowing customer teams to narrow their focus to smaller and manageable elements across the project, offering continuous reinforcement of enablement and application ownership through knowledge transfer.
